IT4DS runs a platform that sports academies use to manage their players, and the Athlete SMS app that their coaches and families use. This policy explains what data the platform and app hold, why, and the choices you have.
Who is responsible
Each academy decides what it records about its players and families and is responsible for that data. IT4DS hosts and processes it on the academy's behalf, and is responsible for the platform itself and for academy owner accounts.
What we hold
- Accounts: name, mobile number, email (optional) and a hashed password for academy staff, coaches and parents. The academy creates these accounts; the app has no public sign-up.
- Players, entered by the academy or the family: name, date of birth, gender, photo, groups and sports, attendance, subscriptions and payments, match and competition results, and medical notes when the academy records them.
- Photos and videos taken at training or posted on a player page. They are shared only within the level the family consents to (private, the team, or public).
- Public player pages, only when the academy publishes them: the blocks the academy chose to show, follows, likes, posts and comments. Family posts and comments wait for the academy to approve them by default.
- A device token for push notifications, and the app version.
- Payments made online go through the payment provider; we never see or store card numbers.
How it is used
- To run the academy: attendance, schedules, subscriptions, receipts, matches and messages to families.
- To send the notifications and messages the academy and you chose (push, SMS, WhatsApp or email).
- To keep the service secure and working, and to answer support requests.
What we never do
- No advertising and no advertising IDs.
- No selling or renting of personal data.
- No tracking across other apps or websites, and no analytics SDKs in the app.
Who it is shared with
Only the services needed to run the platform, under their own security terms: our hosting provider, Google Firebase Cloud Messaging for notifications, SMS / WhatsApp / email providers for messages, and the payment provider the academy uses. Within an academy, staff see what their role allows; families see their own children.
Children
Most players are children. Their data is entered by the academy or their parent, the app is meant to be used by adults (academy staff and parents), and a child photo is public only with the family’s public consent. A parent can ask the academy to correct or remove their child’s data at any time.
Security and retention
Data travels over HTTPS, passwords are hashed, and stored keys are encrypted. Each academy’s data is kept apart from other academies. We keep data while the academy uses the platform; when an academy leaves, it can export its data, which is then deleted.
Your choices
You can ask to see, correct or delete your data. Ask your academy first, since it manages your records; you can also ask us directly through the account deletion page below. Families can change photo consent from the app at any time.
